The patient's journey through physical therapy begins here. TheraOffice Scheduling
is fully integrated with Documentation and Accounting. This allows you to manage
insurance information, co-pays, and the tasks for therapists. Customizable views
allow for all resources’ schedules to be shown or just a specific group of therapists
for 1 to 7 days at a time. TheraOffice Scheduling makes it easy to view past or
future days or months. Generate and print the schedule for your staff and a list
of appointments for your patients. Create as many appointment types as you want
and label them by color for easy viewing. Schedule reoccurring appointments for
patients you plan to see on a regular basis. Drag and drop appointments from one
resource to another or copy and paste appointments. TheraOffice also gives you the
option to create booking rules such as “No Double Booking without Warning”.
Easy To Use Interface:
Each TheraOffice application incorporates a simple, user-friendly interface similar
to Microsoft Outlook.
Multi-Resource View:
Multiple resources can be viewed at once for one to seven days at a time for quick
viewing of a patient’s appointments or to find the next available appointment time.
Appointment Alerts:
When scheduling an appointment, alerts set in the patient’s case are shown and flagged
red, yellow, or green based on the attention they require. Alerts can be set for
authorized visits, prescription expiration, verification of benefits, or return
to physician date.
Temporary Patients:
To schedule a tentative appointment for a patient, a Temporary Patient appointment
can be created. This only requires the patient’s first and last name. The patient
can then be converted to a New Patient at check-in or the appointment can just be
deleted.
Recurring Appointments:
By choosing the days of the week the patient will be seen, the regular appointment
time, and the projected number of weeks the patient will be seen, appointments can
be created automatically with the Recurring Appointment Feature.
Resource Groups:
Resources can be put into groups based on specialties or working hours. For example,
a group can be created that includes therapists that focus on shoulder patients
or therapists that only come in on Tuesday and Thursday. The schedules for those
resources can then be viewed just by clicking on the group name.
Booking Rules:
Setting a patient’s appointment with a “No Double Booking” rule will prevent scheduling
staff from double booking over an appointment for a patient with special needs.
A “Double Book With Warning” rule will allow double booking but give a pop-up warning
before the appointment is scheduled.
Fully Integrated with Documentation:
Therapists can view their schedule from TheraOffice Documentation within the Clinic
Navigator. Also, tasks that are created when a patient is checked in can be viewed
and completed by the therapist when checking the task list.
Integration with Accounting:
Copays can be collected and automatically posted into Accounting from the Schedule
so that all the work that is done by a front desk employee can be done in one program.
Multi-Clinic:
Multiple Schedules can be viewed and edited from one location so that therapists
that go from clinic to clinic can adjust their schedule wherever they are.
Schedule Reports:
Screen prints of the schedule can be printed by resource, or by current view. Upcoming
appointments for a specific patient can also be printed with the facility’s custom
logo on it.
Customization:
Each resource has its own customizable schedule template. Appointment types can
also be edited or added to include a default time frame and color.
Appointment Searches:
Find available appointment times or upcoming appointments easily. The Patient Appointment
Search can find past, present and future appointments. The Resource Range Search
allows scheduling staff to find available appointment times within the selected
date range and time frame.
